Is mine defective or is this model just not adequate for the job?

Summary: Looking over reviews of the Olympus WS-500, I decided to upgrade from a WS-400S. The features are similar except for greater storage capacity and availability of music mode on the WS-500. However, the voice quality and pick up range of the WS-500 I received is really inadequate compared to both the WS-400 I am using now and my older VN-4100 PC (which is less convenient but has the best sound quality).
Summary: I was provided this as a dictaphone for work by work. After using it for about a week to dictate notes at work, I am about to throw it against a wall!!! My biggest gripe is that once I have started dictating a note, if I get interrupted and need to stop, I can't go back and review what I just dictated to re-orient myself where I am in the dictation without it starting a new file. I have yet to figure out how to dictate over part of a dictation to edit or correct.
Summary: I bought this because even though it was more pricy it had 2 GB and seemed to be what I needed in a voice recorder for interviews. Plus, it was pink. Yes if you're a girl that is a selling point- sad but true. I was able to plug the USB drive into my mac computer and it appeared to be charging or something and a ton of manuals and downloads came up. I just didn't know what to do from there.
